ERP beyond the office: connecting drivers, supervisors, employees and field teams

If work happens on the road, at a client site, inside a vehicle or across multiple facilities, the ERP cannot stop at the office door.

Decision summary

ERP field workflows should be role-specific, not a smaller version of the admin workspace.
Drivers, supervisors, employees, riders, and field teams should capture evidence that becomes usable business data.
Permissions matter because field users should see only the trips, attendance, incidents, and tasks they need.

Operating chain

What must connect

01Assigned work
02Mobile context
03Field evidence
04Exception capture
05Back-office validation
06Client or supplier visibility
07Finance and reporting

Controls to define

Keep driver, supervisor, employee, rider, client, supplier, and admin permissions separate.
Capture GPS, time, QR, attendance, status, incident, and user-confirmed evidence only where the workflow requires it.
Protect personal, location, payroll, pricing, and financial data from broad mobile exposure.
Define what can happen offline and what must wait for server validation.

Experience note

Built from operating experience

Codefy Hub combines software engineering with practical exposure to supply chain, logistics, manufacturing, aviation, maritime operations, international trading, startup building, and corporate innovation. That operating context shapes how these guides frame the work behind the software.

Driver journey

A driver needs a focused journey: assigned trip, route and stop context, navigation action, geofence awareness, background tracking where enabled, exceptions, completion state, and offline handling where the implementation scope supports it. The driver app should reduce ambiguity during execution rather than expose back-office complexity.

Supervisor journey

Supervisors need field control around attendance, QR scans, bulk scans, driver and vehicle context, trip actions, backup resources, incidents, penalties, petty cash, and manager visibility. Their role is to validate what is happening now and escalate the exception before it becomes tomorrow finance dispute.

Employee and rider journey

Employees and riders need only the service context that affects them: assigned transport, attendance or trip confirmation, trip updates, history, complaints, feedback, and site attendance where the enabled workflow supports it. They should not become internal ERP users.

Field employee and sales context

Outside transportation, field employees may need controlled attendance, site-visit proof, tasks, client context, follow-up, and evidence capture. Those workflows should be described and enabled only where the product scope and permissions support them.

Evidence captured in the field

Field evidence can include GPS position, timestamp, QR confirmation, attendance state, trip status, incident details, vehicle scan, completion action, photo or note where supported, and user confirmation. Evidence is valuable only when it attaches to the right ERP record.

Back office connection

The reason field data matters is the back-office consequence. A driver completion, supervisor scan, employee confirmation, incident, tracking state, or backup assignment can affect client visibility, supplier settlement, billing readiness, cost review, and service reporting.

Permissions

Each role should see only what it needs. A driver should not see client financials. A rider should not see internal route economics. A supervisor should not inherit payroll access by using an attendance app. Client and supplier users should remain portal-scoped.

Exception handling

Field operations are valuable because they capture reality: missed attendance, vehicle replacement, driver replacement, route variance, tracking failure, incident, delay, or backup resource. The ERP should turn those events into controlled follow-up, not another chat thread.

Codefy implementation

Codefy ERP includes role-specific mobile and portal surfaces: driver trip execution, supervisor attendance and trip control, employee and rider app journeys, buyer portal visibility, supplier portal context, fleet tracking, QR flows, and permission-aware back-office review.

FAQ

Questions buyers usually ask

Should field users get access to the full ERP?

No. Field users should get role-specific mobile or portal workflows with only the records, actions, and evidence capture they need.

Why connect mobile field workflows to ERP?

Because field evidence affects operational validation, client visibility, supplier payables, billing readiness, service quality, and management reporting.
